Service Appt Coordinator

Major Responsibilities:
- Make and receive phone calls scheduling, and confirming customer service appointments, as per vehicle maintenance schedules, to maximize shop usage
- Cover Customer contact when Customer Service Staff are occupied (e.g. takes messages, etc.)
- Set up first service appointment for buyers of new and used vehicles
- Contact customers who have received service reminders letters and have not responded. Updates dealership records as required
- Maintain updated customer information in the databases
- Contact customers on a project basis as required regarding recalls and service campaigns.
- Follow-up on special order parts
- Phone missed appointment customers
- Collect service account receivables
- Record and report any customer concerns / complaints / suggestions to the service manager
- Assist in driving change in the appointment process
- Other misc. related duties, as required
Desired Skills and Experience
- Passion for providing exemplary customer service, and always striving to provide the customer with a positive experience
- Attention to detail, and willingness to perform work in accordance with provided guidelines and ability to follow processes
- Positive attitude and the ability to work within a fast pace team environment
- Basic computer skills, including Microsoft Word and Excel
- Experience with Dealersocket (not required but an asset)
- Class 5 driver’s license
